CB Software LLC ("we," "us," or "our") operates the ClearBox FPA platform at clearboxfpa.com. This Privacy Policy explains how we collect, use, and protect your information when you use our service.

1. Information We Collect

Account Information

When you create an account, we collect your name and email address. If you subscribe to a paid plan, subscription and billing information is processed through Stripe. We store limited billing-related reference information needed to manage your subscription, while payment card information is processed by Stripe.

Financial Data

When you use the service, you may enter financial data directly or import it from third-party services such as QuickBooks Online. This includes chart of accounts, account balances, transaction data, and financial statements.

Forecast Data

Forecasts, assumptions, schedules, and other planning data you create within the platform are stored to provide the service.

Usage Data

We use Google Analytics to collect anonymous usage data such as pages visited, session duration, and browser type. This helps us improve the service. Google Analytics uses cookies to collect this information. You can opt out by installing the Google Analytics opt-out browser add-on.

2. How We Use Your Data

We use your information solely to:

  • Provide and operate the ClearBox FPA platform, including subscription billing and account administration
  • Generate financial forecasts and reports based on your data
  • Authenticate your account and manage access
  • Send transactional emails (account verification, password resets, team invitations, and billing notices)
  • Improve the service based on aggregate, anonymized usage patterns

ClearBox FPA uses third-party AI services from OpenAI, Anthropic, and Google to power certain features. We may send your prompts, uploaded context, and workspace data needed to these third-party service providers in order to help us operate these features, including summarized data that may be provided by other third-party integrations such as QuickBooks.

These third-party AI service providers process the data we send them solely to operate and fulfill the AI-assisted functionality of the Service. We do not share your data with them for marketing, training of AI models, or other unrelated purposes, and we only engage with service providers that have committed to processing data in accordance with our privacy and security standards.

We do not sell your data. We do not use your financial data for advertising. We do not share your data with third parties except as described in this policy.

Do not submit protected health information ("PHI") or other information regulated by HIPAA or similar medical privacy laws through the Service. ClearBox FPA is not intended for the creation, receipt, maintenance, or transmission of PHI, we do not offer the Service as HIPAA-compliant, and we do not enter into business associate agreements for this Service.

3. QuickBooks Online Data

If you connect your QuickBooks Online account, we access the following data through Intuit's API:

  • Chart of accounts (account names, types, and balances)
  • Financial reports and transaction data (profit and loss, balance sheet, trial balance, and individual transactions)
  • Company information (company name, fiscal year settings)

We access this data in read-only mode. We do not modify your QuickBooks data.

Your QuickBooks data is used to populate actual financial data within ClearBox FPA for forecasting, reporting, and related product functionality.

You can disconnect your QuickBooks Online account at any time from within the application. When you disconnect, we stop accessing your QuickBooks data. You may also request deletion of previously imported QuickBooks data by contacting us.

4. Data Storage and Security

Your data is stored on secure, managed database servers. We protect your data with:

  • Encryption in transit using TLS (HTTPS)
  • Encryption at rest for database storage
  • Role-based access controls within the application
  • Regular security updates to our infrastructure

No method of transmission or storage is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.

5. Data Retention and Deletion

We retain your data for as long as the relevant user account, organization, or entity remains active. Different deletion actions remove different data:

  • User account deletion removes your user account and associated memberships from the Service. If account deletion also deletes workspaces you own, the data in those workspaces is deleted as part of that process.
  • Organization deletion removes that workspace and its associated entities, financial data, forecasts, schedules, and related records from ClearBox FPA.
  • Entity deletion removes that entity, its associated financial data, forecasts, schedules, related records, and any connected QuickBooks Online integration from ClearBox FPA.

Deletion is permanent and cannot be undone. Backups containing your data are purged within 30 days of deletion.

You may also request deletion of specific data (such as imported QuickBooks data) without deleting your entire account by contacting us at contact@clearboxfpa.com.

6. Cookies

We use the following cookies:

  • Session cookies — Required for authentication and security (CSRF protection). These are essential and cannot be disabled.
  • Analytics cookies — Google Analytics uses cookies to collect anonymous usage data. You can opt out using the Google Analytics opt-out add-on.

We do not use advertising cookies or third-party tracking cookies.

7. Third-Party Services

We use the following third-party services to operate ClearBox FPA:

  • Google Analytics — Usage analytics
  • Stripe — Subscription billing, payment processing, and customer billing portal
  • Intuit QuickBooks Online API — Optional financial data import
  • Third-party generative AI providers (OpenAI, Anthropic, Google) — AI-assisted product functionality

Each of these services has its own privacy policy. We encourage you to review them.

8. Your Rights

You have the right to:

  • Access your data — view and export your financial data at any time through the platform
  • Correct your data — update your account information and financial data
  • Delete your data — delete your account and all associated data
  • Disconnect third-party integrations — revoke QuickBooks Online access at any time

9. Children's Privacy

ClearBox FPA is not intended for use by anyone under the age of 18. We do not knowingly collect personal information from children.

10. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or through a notice on the platform. Your continued use of the service after changes are posted constitutes acceptance of the updated policy.
