Troubleshoot QuickBooks Desktop

Resolve connection-file errors, rotate credentials, manage connection status, and understand delayed updates.

Start on the QuickBooks Desktop card in Data Setup -> Import. Its status and next action tell you whether the connection is waiting, paused, ready for review, or needs attention.

Connection file cannot be added

If QuickBooks Web Connector reports QBWC1039 while you import a connection file for a company that was connected before, the failure occurs inside QuickBooks Web Connector before ClearBox FPA receives a connection.

Use Intuit's QBWC1039 instructions. For the Unique OwnerID/FileID pair value required message, Intuit directs you to its CP3 remove-stamp tool:

  1. Open the intended company file in QuickBooks Desktop.
  2. In Intuit's CP3 tool, choose Select file and open the ClearBox FPA connection file.
  3. Select Remove Stamp and complete the QuickBooks access prompts.
  4. Close and reopen QuickBooks Desktop and QuickBooks Web Connector.
  5. Import the ClearBox FPA connection file again.

ClearBox FPA has read-only access and cannot remove this stamp from the company file. Do not keep importing the same file repeatedly without completing Intuit's remediation.

One-time password was lost

The password shown during setup cannot be displayed again. On the QuickBooks Desktop card, select Generate new password, copy the new password, and replace the password for the ClearBox FPA application in QuickBooks Web Connector.

Downloading the connection file again does not create or contain a new password.

Password no longer works

On the QuickBooks Desktop card, select Rotate password. Paste the new one-time password into QuickBooks Web Connector before the next update. Rotation keeps the same connection file and invalidates the old password.

Connection is paused

When the card shows Paused, select Resume to accept work again. QuickBooks Web Connector must still be running for the next scheduled update, or you can click Update Selected there.

Update is delayed

ClearBox FPA processes one QuickBooks Desktop connection at a time. A large first import can delay other updates. Leave QuickBooks Web Connector running; queued updates resume automatically when capacity becomes available.

If the card shows Ready for review, open and complete the review. If it shows Needs attention, follow the action displayed on the card before trying Update Selected again.

Revoke the connection

Use Revoke connection when this company file should stop sending new data. Revoking stops future connections but keeps the accounting data already imported into ClearBox FPA. Delete that imported data separately if you no longer want ClearBox FPA to retain it.
