QuickBooks Desktop updates reach ClearBox FPA through QuickBooks Web Connector on the computer or local network that can open the company file.
How scheduled updates start
The downloaded connection file sets an automatic schedule. QuickBooks Web Connector must be open for that schedule to start. You can change the schedule in QuickBooks Web Connector or select the ClearBox FPA application and click Update Selected when you want to start it sooner.
ClearBox FPA can prepare work for the next connection, but it cannot open QuickBooks Web Connector or start an update remotely.
Updates that apply automatically
Routine accounting updates can apply automatically after ClearBox FPA confirms that:
- the same company is connected;
- the accounting basis and home currency still match;
- the account and supported dimension structure is unchanged; and
- the collected balances and transaction detail reconcile.
This keeps ordinary scheduled updates moving without asking you to approve the same structure every time.
Updates that wait for review
ClearBox FPA asks for review when you:
- complete the first import;
- change the accounting source;
- request a scoped resync; or
- receive an accounting-structure, company-identity, or reconciliation change that should not apply automatically.
A review request means the current actuals remain in place while the proposed import waits. Open the review from Data Setup -> Import, choose the available account and dimension decisions, and select Confirm & Sync when the result is correct.
Selecting Close leaves the review available for later. Reject source stops a pending first connection or source change. Discard cancels a requested resync without removing the active QuickBooks Desktop connection.
Why an update may wait
ClearBox FPA processes one QuickBooks Desktop connection at a time. A large first import can temporarily delay another company's scheduled update. Leave QuickBooks Web Connector running: waiting updates resume automatically when the earlier connection finishes.
