Weekly Cash Categories control how source accounts roll into Cash Planning.
Go to Data Setup > Weekly Cash Categories.
This page has three different jobs:
- Categories - the rows that appear in Cash Planning
- Rules - broad routing logic by account, subtype, or type
- Accounts - quick account-level assignments when you want to map a specific source account directly
Categories
Categories are the named buckets that appear in the Cash Planning grid. Each is either a Receipt or a Disbursement. Their order on this page carries into the Cash Planning grid.
Rules
Use Rules when you want broad routing logic instead of one-off account assignments. A rule has:
- Scope -
Account,Subtype, orType - Match - the specific account, subtype, or type to route
- Category - the Weekly Cash Category the matched activity should flow into
Use rule scope intentionally:
- use Type for very broad behavior
- use Subtype for the normal default bucket
- use Account when one source account should be treated as an exception
Reach for more specific rules to handle exceptions, and keep the default mapping broad.
Accounts
The Accounts section at the bottom of the page is the fastest way to assign a category to a specific QuickBooks account.
Each row shows:
- the source account
- transaction count
- the currently assigned category dropdown
Use this when you want a precise account-level mapping without creating a broader subtype or type rule.
What belongs here vs Cash Planning
- Define categories and mapping logic here.
- Fix source-account routing here.
- Adjust timing, collections, payables, or manual cash items in Cash Planning.
Watch out for
- Do not create dozens of account-level rules when one subtype rule should be the default.
- Do not use Cash Planning row edits to compensate for unmapped source accounts. Fix the mapping here instead.
